How to Evaluate Samples from Chinese Factories
TL;DR: Always order samples before committing to a bulk order. Request samples from 3–5 factories, test them against your specifications, and keep a sealed reference sample for QC comparison during production. Budget $50–$500 per sample depending on product complexity.
Types of Samples
| Sample Type | Purpose | Cost |
|---|---|---|
| Existing/Stock Sample | Evaluate factory's current product quality | Free – $50 |
| Custom Sample | Your design made with existing molds/tooling | $50 – $200 |
| OEM Prototype | New design requiring new tooling/molds | $200 – $5,000+ |
| Pre-Production Sample (PP) | Final approval before mass production | $100 – $500 |
Sample Evaluation Checklist
- Visual inspection: Surface finish, color accuracy, logo placement, packaging quality.
- Dimensional check: Measure against your specifications using calipers/rulers.
- Material quality: Check material feel, weight, and consistency with your specs.
- Functional testing: Does it work as expected? Test all features and functions.
- Durability testing: Drop test, scratch test, water resistance, stress test as appropriate.
- Electrical safety: For electronics — check voltage ratings, heat generation, cable quality.
- Packaging review: Unboxing experience, protection level, labeling accuracy.
- Compare across factories: Lay all samples side by side and compare quality, finish, and accuracy.
Red Flags During Sample Evaluation
- Sample is much better than realistic production quality: Some factories send hand-picked, over-engineered samples that don't represent actual production output.
- Reluctance to modify: If the factory pushes back on reasonable modification requests, production flexibility will likely be worse.
- Delays beyond quoted timeline: If the sample takes 3x longer than promised, expect production delays too.
- Poor communication: If it's hard to get clear answers during sampling, imagine managing a full production run.
The Golden Sample Rule
Once you approve a sample, keep two identical copies: one for yourself and one sealed at the factory. This "golden sample" becomes the reference standard for quality control during production. Any deviation from the golden sample is grounds for rejection or rework. Make sure the golden sample is clearly labeled with date, specification version, and approval signature.
